Campervan Retreats – Terms & Conditions
1. Introduction
These Terms & Conditions apply to all bookings made with Campervan Retreats. By booking a retreat, event, workshop or stay with Campervan Retreats, you agree to the following terms.
These terms are designed to help create a safe, welcoming and respectful environment for all attendees.
2. Booking & Payments
A booking is confirmed once payment or a deposit has been received.
• Full payment must be made by the date stated at the time of booking.
• Failure to complete payment by the due date may result in cancellation of your place.
• Prices are listed in GBP (£) and may change at any time before booking confirmation.
• Retreat places are limited and allocated on a first-come, first-served basis.
3. Cancellation Policy
By You
• Deposits are non-refundable unless otherwise stated.
• Cancellations made more than 60 days before the retreat start date may receive a partial refund, minus the deposit and any non-recoverable costs.
• Cancellations made within 60 days of the retreat are non-refundable.
• You may transfer your booking to another person with prior written agreement from Campervan Retreats.
• If you leave a retreat early for any reason, no refund will be provided.
By Campervan Retreats
Campervan Retreats reserves the right to cancel, postpone or amend retreats due to:
• Severe weather
• Venue issues
• Low attendance
• Illness
• Circumstances beyond reasonable control
Where possible, an alternative date, credit or refund will be offered. Campervan Retreats is not responsible for additional costs such as travel, fuel, accommodation outside the retreat, ferry costs or loss of earnings.
4. Health, Wellbeing & Personal Responsibility
All guests attend retreats at their own risk.
• You are responsible for ensuring you are physically and emotionally able to participate in retreat activities.
• Please inform Campervan Retreats in advance of any medical conditions, injuries, allergies or accessibility requirements that may affect your participation.
• Activities such as yoga, paddleboarding, swimming, walking, sound baths and workshops are voluntary.
• You accept responsibility for your own wellbeing and personal choices during the retreat.
Campervan Retreats and any facilitators, teachers or venue partners cannot be held liable for injury, illness, loss or damage unless caused by proven negligence.
5. Vehicles, Camping & Equipment
• Guests are responsible for the safety, insurance and security of their own campervan, motorhome, vehicle, tent and belongings.
• You must ensure your vehicle is road legal, insured and suitable for the event.
• Electric hook-up (EHU) is only available where specifically stated.
• Guests must follow site rules, fire regulations and any instructions given by hosts or venue owners.
• Open flames, fire pits or BBQs may only be used where permitted.
6. Respectful Community Behaviour
Campervan Retreats is built around kindness, inclusion and community.
We ask all attendees to:
• Treat fellow guests, hosts and facilitators with respect
• Respect quiet hours and shared spaces
• Avoid disruptive, aggressive or discriminatory behaviour
• Respect personal boundaries and privacy
• Leave communal areas clean and tidy
Campervan Retreats reserves the right to ask any guest to leave without refund if their behaviour negatively impacts the safety, wellbeing or enjoyment of others.
7. Alcohol & Substances
• Moderate alcohol consumption may be permitted at some retreats unless otherwise stated.
• Illegal drugs are strictly prohibited.
• Anyone behaving dangerously or irresponsibly due to alcohol or substance use may be asked to leave immediately without refund.
8. Dogs & Pets
• Dogs may only attend where explicitly permitted.
• Owners are fully responsible for their pet’s behaviour, safety and welfare.
• Dogs must be kept under control and cleaned up after at all times.
• Campervan Retreats reserves the right to refuse pets that may disrupt the retreat experience.
9. Photography & Media
During retreats, photographs or videos may occasionally be taken for marketing and social media
purposes.
By attending, you acknowledge that:
• You may appear in group images or videos
• Campervan Retreats may use this content for promotional purposes
If you would prefer not to appear in photographs or videos, please notify the organisers before or during
the retreat.
10. Weather & Outdoor Activities
Retreats continue in most weather conditions unless safety is affected.
Outdoor activities may be amended, delayed or cancelled due to weather, water conditions or safety concerns.
No refunds will be issued for weather-related schedule adjustments.
11. Liability
To the fullest extent permitted by law:
• Campervan Retreats accepts no responsibility for loss, theft or damage to personal property, vehicles or equipment.
• Campervan Retreats is not liable for injury, accidents, delays, cancellations or disruptions outside its reasonable control.
• Guests participate in all activities voluntarily and at their own risk.
Nothing in these Terms excludes liability for death or personal injury caused by negligence where such exclusion is unlawful.
12. Travel Insurance
Guests are strongly encouraged to arrange appropriate travel and cancellation insurance to cover unexpected circumstances.
13. Privacy
Any personal information provided during booking will be handled respectfully and only used for retreat administration, communication and relevant updates.
Your information will never be sold to third parties.
14. Changes to Terms
Campervan Retreats reserves the right to update these Terms & Conditions at any time.
The latest version will apply to all future bookings.
